Connecting your Gmail inbox to Paraform unlocks most of the platform's email features: automatic sync of your conversations with candidates, sending emails directly from your own address, interview intro emails that come from you, and running Email Sequences.
What connecting Gmail unlocks
Automatic email sync. Emails you exchange with sourced candidates sync to Paraform automatically, so your candidate records stay up to date without manual work. Paraform only reads and syncs emails with candidates you've explicitly sourced and added an email address for. Initial sync may take up to an hour; after that, new emails sync continuously.
Send from your own address. When you send emails from inside Paraform — intro emails, candidate messages, sequence emails — they go out from your Gmail address, not from a generic Paraform sender.
Email Sequences. Sequences require a connected Gmail inbox. See Email Sequences for how they work.
Connecting your inbox
Go to your settings page, find the Gmail integration, and click Connect. Follow the OAuth flow and grant all the permissions prompted — make sure Read, compose, and send emails is checked when Google asks. Some Paraform features (sequence sending, full sync) won't work without these scopes.
Multiple accounts. You can connect more than one Gmail account and choose a preferred one for sending. Useful if you recruit from different addresses for different types of outreach.
Sending emails to candidates
Once your Gmail is connected, you can send emails to candidates without leaving Paraform.
From any sourced candidate, click Compose Email. The email goes out from your Gmail address, and the thread stays in sync — any replies from the candidate land back in Paraform automatically, and you can reply to them from inside the candidate view or from Gmail directly.
Interview intro emails
When a hiring manager wants to interview a candidate, Paraform sends an introduction email connecting the recruiter, candidate, and hiring manager.
Default: the intro email is sent from Paraform, introducing all three parties.
If the hiring manager has Gmail connected: the email is sent on their behalf.
If you (the recruiter) have Gmail connected: the email is sent on your behalf instead, which generally feels more natural to the candidate — you're the one they've been talking to.
The hiring manager sees the final draft before it goes out, and they can edit the message.
Troubleshooting
If the integration shows an error or emails aren't syncing:
Reconnect your inbox. Disconnect and reconnect from settings, making sure all prompted permissions are granted, including Read, compose, and send emails.
Check your organization's policies. If you're on a managed Google Workspace, your admin may have restricted access to Gmail's API.
